Hi John,
We have a small hotel. We have two bookings staff in different locations, working on their individual computers.
Can we use ether a web based or cloud based programme, with a common database which both staff can access and update ?
However, we have some fears :
If one of the staff make a change on the booking chart which has an error, can the other staff, whenever checking the chart, see the change ? And approve or accept before it becomes a final change on the database ?

Hi Denzil,

Thanks for the question on multiple locations and staff.

Yes, this is possible. You have two basic options.

You can use the Desktop Edition and link the two locations together via a 'Virtual Private Network'. This allows you to share the database over the internet.

We also have a Cloud Edition. Where each user would log in via a browser and use the system. In this case, the database is in the Cloud.

In terms of checking errors. Depending on the edition - You can create 'permissions' for each user so that they only have access to certain features. You can also 'log' changes so you can see who did what. We do also offer a customization service, where we can add in specific features if you think the base product does not meet all your requirements.

Thanks for your response, John. Some more questions !

When using the Virtual private network and/or the cloud based edition, would it be possible to view the booking chart on iPhones, Android phones, Mac computers and PCs ?

Yes, there are various options for this. There is also two types of calendar, the internal hotel administration calendar and the public guest availability calendar.

Thanks John !

We would need a cloud based system for two administrators, to be able to make changes, and approximately 5 viewers, to watch the chart online.

We would also need to transfer all existing data to the cloud based system.

We do not require a public guest availability calendar.

Please let us know the approximate cost and how we should proceed to have this done.

Thanks for the reply.

Pricing on the Cloud Edition is based on the number of rooms and users. This keeps it fair for everyone. If you can send over your database I can give you a cost. I'm happy to import that database so you can try out a demo.

You can send your database via 'Help > Send Database to iMagic Support'. Or manually ZIP and email the database file. Just reference this thread so we can find your details.
